This Privacy Policy applies to you if:

  • You visit and browse our Sites and Apps.
  • You order products or book appointments with our Partners through Bookingly (we'll refer to you as a "Client").

We will only use the information we collect about you if there is a valid reason for doing so, and if that reason is permitted under data protection law. We handle your phone number in accordance with the terms specified hereafter. We do not sell or share your phone number with third parties, except where required by law. We outline the reasons we collect and use information in each section below, and we explain these reasons under 'What do each of these legal reasons mean?'

If you visit our Services
We use your information to provide you with our Services. Whether you are simply browsing or have an account, we will automatically collect certain information when you use our Sites. This includes technical information, information about your visit, and (if you opt-in) location data:

Technical Information

If you use Bookingly to book an appointment

When you create a Bookingly account or use our services to make a booking, we may collect the following information to help manage your experience:

  • Your name, email address, and mobile number
  • Date of birth and gender (if provided)
  • Your address, including if you book a service to a specific location
  • A profile photo (optional)
  • Login details and preferences related to your account

If you choose to sign in using Google, Facebook, or Apple, we’ll receive basic profile details such as your name, email address, and user ID (and where applicable, your profile picture). We use this solely to facilitate login and personalize your experience.

We assign a unique identifier to each account so we can maintain your history and preferences securely. As you use your account, we may collect information such as:

  • Your booking history and saved preferences (like favorite businesses or services)
  • Account settings and saved payment methods (securely processed)
  • Referral or promotional details, if applicable
  • Feedback or reviews you provide
  • Usage data related to how you interact with our platform (including cookies and analytics—see our [Cookie Policy] for more)

This information is used to:

  • Maintain and manage your Bookingly account
  • Allow you to discover, book, and pay for services with businesses on our platform
  • Provide customer support and resolve any issues
  • Fulfill any contractual obligations where applicable, such as payments or reminders

We collect and process this information either because it is necessary to deliver the service you've requested, or because you have given us permission to do so.

If you order products via Bookingly

Products can be optionally purchased and bundled together with service(s), when you order any products via Bookingly, we may collect your:

  • Order details and purchase records
  • Cancellation, return and refund records
  • Securely saved payment methods
  • Any product reviews or ratings
  • Details in accordance with our Cookie Notice.

We use your account and booking information to help service providers (our Partners) deliver and manage your appointments or service requests. This includes:

  • Allowing you to connect with and make purchases from businesses through Bookingly, including handling payments securely.
  • Sharing your contact and booking details with the business you’ve booked with, so they can deliver the service, manage any changes (like cancellations or reschedules), and communicate with you directly about your appointment.
  • Keeping a record of your bookings, cancellations, and any refund-related activity for reference and support.

We rely on a combination of legal bases for processing this information, including fulfilling our contract with you, pursuing our legitimate business interests, and your consent where required.

If You Work for a Business Using Bookingly (Staff Members)

If you're a Staff Member working for one of our business users — whether as an employee, contractor, or team member — Bookingly may collect certain contact and business-related details.

Contact details may include:

  • Your name and role/title.
  • The business name you're affiliated with.
  • Email address and phone number.
  • Login credentials for Bookingly's business tools
  • Information collected through cookies and similar technologies

Business information may include:

  • Business address and type (e.g. salon, wellness studio, trainer, etc.)
  • Content from consultation forms
  • Appointment history and upcoming bookings
  • Data related to point-of-sale (POS) activity
  • Payment processing details (handled by third-party providers)

  • Photos and marketing content uploaded to the platform

Additionally, we may process non-personal data on behalf of the business, such as financial reporting and product inventory.

We use this information to help manage the Partner's Bookingly account and provide access to our business tools. This includes:

  • Supporting the setup and maintenance of the Partner’s account
  • Providing technical support and customer service
  • Enabling scheduling, staff management, and business operations
  • Facilitating transactions and handling payment flows
  • Allowing the Partner to create and manage marketing campaigns
  • Enabling listing and visibility on Bookingly’s public-facing platform
  • Supporting POS usage and inventory tracking
  • Reaching out to staff as needed to create or manage team access

Our legal basis for processing this information includes fulfilling contractual obligations and supporting our legitimate business interests.

If We Send You Promotions, Updates, or Other Marketing Content

When you interact with Bookingly, we may collect your contact details such as your name and email address — along with your marketing preferences, which tell us what types of communications you'd like to receive (or not receive) from us.

We use this information to:

  • Send you relevant updates, offers, tips, and promotional content, including our newsletter (if subscribed)
  • Share personalized recommendations for services, features, businesses, or content we think you’ll find useful
  • Work with advertising partners to show you tailored ads online
  • Reach out to you on behalf of Bookingly if we believe your business may benefit from partnering with us
  • Ask for feedback or invite you to participate in surveys and research that help us improve

Who We Share Your Information With

If You Are a Client

When you use Bookingly to book a service, we may share your information with the business or individual providing that service. This helps them manage your booking, communicate with you, and deliver the service effectively. The information shared may include your name, contact details, booking preferences, and any other information you provide (such as responses to custom forms).

If you leave a public review after a service, we may publish your review, rating, and the date it was submitted, along with your first name and the first initial of your last name. This feedback may appear on Bookingly or in other places, such as third-party websites or promotional materials. Reviews may remain visible even after your account is closed.

If You Are a Business Staff Member

If you work at or for a business that uses Bookingly, your name and service-related ratings may be visible to users who book with you. Clients may be able to leave reviews about your service, which could be shared with the business you work with and made publicly available on Bookingly.

We may also showcase certain business or staff-related content — such as names, reviews, or general information — in search engine listings or online ads (like Google, Instagram, or Facebook), in order to help promote that business or service.

In General

In addition to the above, we may share your information with:

  • Third-party service providers who support the operation of Bookingly — including web hosting providers, customer support tools, email and notification services, analytics providers, marketing platforms, and secure payment processors. These providers only use your data to perform services on our behalf, and they’re required to keep your information protected and confidential.
  • Other companies within the Bookingly group, if applicable, where they help us provide or improve our platform and services.
  • Referral-related users, if you create an account using someone’s referral link, that user may be able to see limited information about your sign-up status.
  • Promotion or survey partners, when you enter a giveaway, promotion, or co-hosted campaign and agree to take part. We’ll always tell you at the time what information is being shared and why.
  • Our professional advisors, such as legal counsel, accountants, or auditors, when needed for compliance or support.
  • Future business scenarios, such as mergers or asset sales, where your data may be shared with the acquiring party to continue providing services or for due diligence purposes.

How We Protect Your Information

At Bookingly, keeping your personal information safe is a top priority. All data you provide to us is stored securely, and our platform uses end-to-end encryption to protect your information during transmission. We secure all connections using industry-standard encryption protocols.

Data is stored in protected databases with strict access controls. Only authorized personnel can access this data, and all access is logged and monitored in line with our security practices.

While we take every reasonable step to safeguard your information, it’s important to note that no method of transmitting data over the internet is entirely secure. Although we work hard to protect your personal information, we cannot guarantee the security of data sent to us electronically. Once we receive your information, we apply strict procedures and security measures to help prevent unauthorized access.

Payment processing

Payments made through Bookingly are handled securely using trusted third-party providers. For payments made via our website, we use Stripe, a leading global payment processor. For in-app purchases and subscriptions, transactions are processed through Google Play and Apple App Store, depending on your device.

When you make a payment on our website, your credit or debit card details are processed directly by Stripe. Their systems use secure encryption to protect your information and authorize the transaction. Bookingly does not store full card numbers or security codes, but we may retain limited, pseudonymized card information, including:

  • Card brand
  • Cardholder name
  • Last four digits of the card
  • Expiration month and year

For mobile purchases made through Google Play or Apple, your payment and billing information is managed directly through your respective app store account and subject to their privacy policies.

Bookingly does not have access to full payment credentials submitted via Stripe, Google Play, or Apple. We encourage you to review the privacy policies of these payment providers for more information on how your data is handled:

How long is your information kept for?

We will generally process personal information:

  • For as long as it is necessary for the purpose(s) for which it was originally collected (for example, holding it to process bookings or while you have an active account with Bookingly), and
  • For up to six years after that, in order to identify any issues, resolve any legal proceedings, or comply with our legal obligations.

We may retain your personal data for a longer period if we reasonably believe there is a potential for legal proceedings, or if we are aware of pending or ongoing legal proceedings. In some cases, we may need to keep your data longer if required by applicable laws.

If you have opted to receive insights, newsletters, or other promotional materials and later choose to opt out, we may keep a record of your opt-out preference so that we can respect your decision.

We may also retain aggregated, anonymised, or pseudonymized data – such as for reporting and analytics – for longer periods.
